TALENT ASSOCIATE – RPM
REPORTS TO: Morgan Allen, Controller
RPM is a dynamic, full-service ad agency with a bold vision for the live entertainment space. Our team aims to create a trust-filled partnership with clients, focusing on transparency, streamlined workflow and the integration of strategy, media and creative that captures the imagination. We are looking to expand our team with people who share this passion. Clients include the Broadway shows Hamilton, Chicago, Waitress, Moulin Rouge!, Jagged Little Pill, Rodgers and Hammerstein’s Oklahoma!, Slave Play, Hangmen and Mrs. Doubtfire plus Second Stage Theater, Big Apple Circus, Blue Man Group, Madison Square Garden Entertainment and Cirque du Soleil.
The Talent Associate will be part of our growing finance team, including a Finance Associate, Client Finance Coordinator, Controller and Managing Partner. Finance at RPM oversees talent responsibilities for all the agency’s commercial shoots and recording sessions. Our core areas of oversight and execution are union compliance, contracts, talent payments, cycle expirations and budget actualizations. The Talent Associate will participate in every aspect of these areas, working to ensure all responsibilities and obligations are being met and that the agency is running a professional and seamless talent operation.
With the support of the Controller and Client Finance Coordinator, a successful Talent Associate will be confident in owning the following areas of operation:
-Maintaining comprehensive tracking document for every shoot/session the agency undertake
-Attending internal kick-off meetings to gather talent related needs for every shoot/session
-Liase with staff Producer to keep finance up to date during shoot pre-production and to assess potential locations for proper workplace conditions
-Run talent clearances to establish if potential cast are union members in good standing
-Liaise with copy team to review final client approved script format
-Work with Controller and Client Finance Coordinator to schedule and follow through on talent related deadlines for each shoot/session
-Complete compliance checklist during Production on set for each shoot/session including:
-Help talent complete contracts
-Confirm proper working conditions are met
-Log talent arrival and departure time on set
-Work with Controller and Client Finance Coordinator to create and submit session and completion reports for talent payment during post-production
-Work with Producer to collect invoices and receipts from shoot to actualize against client estimate/budget
YOUR TYPICAL DAY AT THE OFFICE:
After catching up on some emails and Slacks, you spend time reviewing your master tracking document for all potential and confirmed upcoming shoots/sessions. You remove a shoot that has been cancelled and alert the talent team to the cancellation. While doing that you notice that a confirmed upcoming shoot doesn’t have an official date yet so you check-in with the Producer. They confirm the date and you enter it in your tracking document, alert the talent team then begin moving through your pre-production checklist. Additionally, you have been given a list of talent for a different upcoming shoot so you coordinate clearances with SAG-AFTRA and relay any issues. Before attending a previously scheduled internal kick-off for a large broadcast shoot in a few weeks to take notes, you run through a bunch of invoices and receipts you’ve tracked down from last week’s small motion shoot and begin to actualize expenses so the finance team can properly bill the client. In the afternoon you head to the set for a shoot in Brooklyn. Once there you complete your compliance checklist, ensuring everything is up to par, then head home for the day.
HOW DO YOU DEFINE SUCCESS?
A successful Talent Associate at RPM will thrive in deadlines and details. Your job is all about making sure no stone is left unturned. You will interact with numerous people at the agency who are all driving hard towards their goals – you will have to be able to get the information you need while being sensitive to their pressures and deadlines. The agency has a responsibility to make sure all the i’s are dotted and the t’s are crossed when it comes to the production of commercials for our clients and you are there to help us meet our own high standards. No question is a silly question and you won’t be afraid to ask them, to seek guidance as needed and to raise any possible red flags that may cause a problem for the agency or its clients. Grace under pressure and professionalism in the presence of potentially high-profile talent are of the utmost importance. You should be as invigorated by the magic of making commercials as you are by the beauty of a well-maintained spreadsheet.
-1+ years working in a professional office or similar environment
-Familiarity with G Suite services (Mail, Docs, Sheets) preferred
-Knowledge of Broadway and/or advertising a plus but not required
-This is a full-time, 40-hour per week position with benefits
-Salary range begins in the low 40s
-Short notice travel within the United States may be required
-Though this position has on-set duties this is not a Production Assistant job – it should be considered primarily an office job
