Mama Foundation for the Arts (MFA) was founded to help re-establish Harlem as an artistic and cultural centerpiece of the world. MFA’s mission is to present, preserve, and promote gospel, jazz, and the R&B arts for current and future generations. MFA produces an Uptown Musical Theater scene which includes original musicals, an arts education program for teens, and the breakout choir “Sing Harlem.” Featured on CBS 60 Minutes a total of 3 times, MFA continues to grow and bring audiences from across the country to experience music and theater in Harlem. 

Part-time, hourly. 

Mama Foundation for the Arts seeks to fill a PERSONAL AND ADMINISTRATIVE ASSISTANT position to provide direct support to three directors in the foundation. 


  • Support Individual Giving, record donations, distribute acknowledgement letters

  • Draft fundraising campaigns for individual donors

  • Liaise with Grants Consultants for both existing and potential funding 

  • Keep grants calendar updated to meet application and report deadlines 


  • Administrative support for Accounts Payable and Receivable

  • Create and process invoices 

  • Assist with profit & loss statements, ticket sales reports, and seasonal expense reports

  • Assist with banking, deposits and check writing

  • Liaise with Accounting Consultants for audits and bookkeeping


  • Filing and clerical needs on a daily basis

  • Email monitoring and phone reception on a daily basis

  • Run errands as needed, both professional and personal for Executive Director

  • Procure office supplies and tend to vendor accounts


  • Assist Executive Director and external sponsors to organize travel, promotional packages, and follow ups for performances

  • Back up support for ticket sales when needed

  • Take point on select special events throughout the year

The ideal candidate will meet the following requirements:

  • 2+ years experience in an office environment, not-for-profit and/or arts organization preferred 

  • Ability to multitask in a fast-paced environment

  • Self-starter comfortable prioritizing multiple projects and duties under minimal supervision

  • Proficiency in Microsoft Word and Excel 

  • Comfortable with both PC and Mac

  • Box Office experience a plus

  • Excellent phone etiquette and customer service skills a must
