The Project Management Associate will assist the Project Manager, Executive, and Creative teams in organizing ongoing projects and project administration. Project Management Associate will be the primary individual for file management, scheduling and detailed tracking. Key tasks involve file management, schedules, generating reports, supervising file structure, tracking expenditures, budgets, and taking notes. Project Management Associate may be asked to lead portions of a project.

Duties include:

Provide administrative support 

Maintain document control procedures

Process file management and other admin procedures. Participate in implementing file management and policies & procedures.

Maintain project schedules for active projects

Preparing agendas, documenting, distributing minutes & follow up on decisions/actions from meetings 

Prepare correspondence – meeting agendas, schedule meetings, reports for projects, follow up of assignments

Participate in management of outside vendors & partners 

Provide freight & logistics management support

Assist with contracts as needed 

Participate in supervising Internship program. Participate in overhire and outside partner supervision, hour tracking, payroll 

Supervise special projects as needed 

Assist with project handoff documents such as user manuals, maintenance documents, and warranty information

Site visits and site supervision when requested

Other duties as assigned

Entertainment experience required; theme park or theatre experience preferable.

The right candidate has strong organizational skills, ability to manage deadlines, prioritize and adjust as needed. Candidate will enjoy the challenge of nitty gritty project details and beautifully complicated spreadsheets. You’ll need experience in some software programs and administrative applications such as Google drive, Documents, Sheets and/or Excel and not mind spending all day downloading & labeling files. If you have experience using applications such as Slack, Jira, MSProject or Procore, that’s a big plus. You must have the ability to focus in a fast paced creative office. You’ll be a beacon of calm, with an active, participatory, and positive attitude. It’s important that you enjoy and/or have had experience working in entertainment, theme parks, museums, theater, or interactive experiences. Quantum is a fast growing premiere design firm; you’ll need to be game to help us grow and develop.

Quantum Creative Studios is a global company with international projects. Successful candidate may be required to travel internationally and must be comfortable working closely with clients and vendors of different cultural backgrounds. Successful candidate must have valid passport with no travel restrictions or obtain one within 6 weeks after employment.
